Heat pump hot water quotes: check the site before the discount

A heat pump hot water quote needs more than a tank model and an advertised rebate. Confirm the existing system, household needs, installation scope and the provider’s eligibility assessment before treating a discount as part of the offer.

Start with the replacement and the household

  • Record the existing heater type, condition and identifying details, plus the property address. Ask about household hot water demand and the proposed replacement location.
  • Have the installer confirm sizing, access and plumbing/electrical scope. Record removal, extra works and unresolved assumptions before presenting the total.
  • For a Victorian Energy Upgrades (VEU) discount, check the current approved product, required warranty and accredited provider pathway. The household guidance requires an existing system in a house or building at least two years old.

Confirm the discount before work starts

Arrange the assessment with an accredited provider or their partner installer before purchase or installation. Victorian guidance says retrospective discounts are typically unavailable; a provider confirms eligible models and includes the discount in the quote.

If combining VEU and a Solar Homes hot water rebate, verify each program’s conditions separately. Record the provider’s dated calculation and required customer contribution rather than copying a maximum advertised saving. The VEU page reviewed here was updated on 15 October 2026.

Example: the old heater was recorded incorrectly

Illustrative enquiry: the sales note says electric storage, but the installer identifies a gas heater. Ask the provider to reassess the replacement pathway and quote discount. Keep the model, site work and revised customer total together; do not carry the first incentive assumption into the handover.

A prepared record is not scheme approval

VEU guidance here applies to Victoria. A CRM record does not approve a product, rebate or installer. ArcSolar’s documented field workflow supports reviewing scope, site documents, installer and readiness conditions; this guide does not establish automatic VEU submission or hot-water-specific sizing in the app.

Check the office-to-installer handover

In a demo, use a representative heat pump enquiry to review the customer record and field-work preparation. Identify who confirms the model, provider assessment and extra works before scheduling.
