Build a usable service record
- Confirm the customer, installation address, purchase and installation dates, seller and installer. Retain the invoice, accepted scope, exact model and available serial-number evidence.
- Record what the customer observed and when, without turning a symptom into a technical diagnosis. Keep relevant photos, manufacturer correspondence and the warranty supplied with the product.
- Assign the next action and review date. Separate the customer update, technical assessment, any agreed remedy and a confirmed service appointment.
Keep consumer guarantees separate from the warranty
ACCC guidance says a manufacturer’s warranty adds to consumer guarantees; it does not replace them. Do not automatically close a report because the written warranty has expired.
For solar and home batteries, the ACCC says the supplier must assist and cannot simply direct the consumer to the manufacturer for a remedy. Keep the supply and installation arrangements visible while the responsible team assesses the issue.
Example: a battery case is still waiting on a visit
Illustrative report: a battery stops charging and the manufacturer supplies a case reference. The retailer retains the original customer report, assigns the installer assessment and agrees the next customer update. Keep “manufacturer contacted” separate from “visit booked” and “problem resolved”; confirm each outcome before closing the work.
Evidence supports assessment; it does not decide the remedy
This worksheet does not determine technical fault, safety or a customer’s legal remedy. Use the relevant qualified technician and current consumer guidance. Do not ask customers to open electrical or refrigerant equipment to collect evidence.
Connect the office and field follow-up
ArcSolar supports solar, batteries, heat pump hot water, EV chargers and air conditioning. Use its documented customer-linked tasks and field preparation to review the scope, documents, installer and outstanding actions. A task due date is not a booked visit. Confirm the controls enabled in your workspace; no automatic warranty-approval integration is claimed.
